The first step when building a new collection is always the creative process. Using old fashioned pencil and paper, state of the art CAD/CAM systems or anything in between, the designers create the future items for your brand. Immediately after that, all the technical details of the products need to be registered. Size specifications, washing instructions, bills of materials, packing instructions...you name it.
Often all of this information is entered in many different places, in many different ways. Some things in Excel files, other parts in Word documents. Yet other information you have on paper, which is divided over different cabinets and drawers. Finally some things are just "stored" in the mind of the user. From these varied sources a coherent set of instructions needs to be made to instruct the production site, whether it is "in house" or a third party company, what they have to produce, how they have to do it, which materials and accessories they have to use and which special instructions apply.
No danger of discrepancies
The way to get control over this is a good Product Data Management (PDM) solution. There are many specialized PDM solutions available. While they all may do a good job, in most cases 80% of the functionality of these advanced solutions is not used. There is a high level of overkill. And at the end, all the information from the PDM system needs to be transferred to the ERP solution, to be able to start the actual sales, purchase and production processes. Interfaces take care of this data transfer. Nevertheless, the same information is stored in two different solutions. The risk that differences exist between the two versions is high. And there is always a delay in updating the information between the systems, because this is often done on a daily basis. Define your items directly within your ERP system from day 1, attach your bills of materials, routings, washing instructions, packing instructions and whatever else you need. Add as many pictures, drawings and other files to the item as you want. Give insight into the buildup of your BOM's by dividing the components in different types (like fabrics, trims, packing materials etc.). And finally...create the instruction documents to the production site with literally one push of the button!
All this is done while the items are in the design phase. When you decide for individual items to become part of the final collection, it is just another push of the button that promotes them to this new status. Ready for your sales force to start selling them!
